Batches

A Batch is a specific implementation of a concept and the production unit of the system. After it’s produced, it will correspond to one or more Ads.

Batch Types

Batches come in two types based on their media format:

  • Video: Produces video ad creatives with scenes, scripts, and voiceovers
  • Static: Produces image-based ad creatives with visual briefs

The batch type is determined during creation and cannot be changed afterward.

Batch Layers

Every batch is structured in two main layers that work together to produce the final creative:

Messaging

The Messaging layer defines what you want to communicate to your audience. This layer focuses on the core message, value proposition, and call to action.

Format

The Format layer defines how the message will be visually presented. This includes scenes for videos or visual briefs for static images.

How you define the messaging and format differs depending on whether the batch is a video or a static. See the dedicated pages for more info.

Creating a Batch

You can create a batch by:

  • Clicking create batch from the Concept page. This will create an empty batch.
  • Selecting Iteration Batch when after clicking Create in the Cycle page. Then you can select a batch to iterate. This will allow you to duplicate either the messaging or both messaging and format of an existing batch.

When creating batches you can select their media format (video / static) and assign team members to each batch. The team member will be preselected depending on their role.

Understanding the Batch Page

When you open a batch, you’ll see a navigation bar at the top with:

  1. Tab selection: Switch between Messaging and Format tabs
  2. Team button: View and assign team members
  3. View Concept button: Quickly view the concept’s positioning. Useful to check whether the batch follows its concept’s positioning.
  4. Status selector: Change the batch status
  5. Delete button: Remove the batch

Note

The Format tab is disabled until messaging is completed.

Team Assignment

Click the Team button to expand the team panel where you can assign:

  • Creative Strategist: Responsible for messaging, briefing & reviews.
  • Editor: Responsible for producing the visual content
  • Media Buyer: Responsible for publishing ads

Production Pipeline

Batches progress through a series of statuses that represent the production workflow. The status determines which team member is responsible and what actions are available.

Messaging

Responsible: Creative Strategist

The initial status where the batch’s core message is defined. The batch cannot progress until messaging is complete.

Briefing

Responsible: Creative Strategist

Once messaging is complete, the batch moves to Briefing where the creative brief is developed. This includes:

  • Running the creation wizard to generate initial creatives
  • Defining scenes and scripts (video) or visual briefs (static)
  • Matching content to scenes
  • Attaching voiceovers

Editing

Responsible: Editor

The Editor produces the main creative based on the brief. Key actions:

  • Download assets as a ZIP file
  • Access the storyboard/brief for reference
  • Copy scripts
  • Attach voiceovers
  • Add the URL to the edited main creative

Note

The Editor must add the Main Creative URL before the batch can progress to Review.

In Review

Responsible: Creative Strategist

The Creative Strategist reviews the main creative produced by the Editor. They can:

  • Open the main creative via the provided URL
  • Review against the storyboard/brief
  • Send back to Editing if revisions are needed
  • Approve by moving to Variations Editing

Variations Editing

Responsible: Editor

The Editor creates additional creative variations. Key actions:

  • Reference the main creative and storyboard
  • Create variations in different formats/sizes
  • Add the URL to the finished creatives folder

Variations Review

Responsible: Creative Strategist

The Creative Strategist reviews all creative variations. They can:

  • Open the produced creatives folder
  • Review each variation against requirements
  • Send back to Variations Editing if revisions are needed
  • Approve by moving to Ready To Publish

Ready To Publish

Important

You should include the batch ID anywhere in the ad name so it can be tracked in the Analytics

Responsible: Media Buyer

The batch is complete and ready for publishing. The Media Buyer can:

  • Copy the Batch ID for tracking in ad platforms
  • Open the produced creatives folder
  • Mark as Published once ads are live

Published

The final status indicating the batch’s creatives are live as ads. The batch remains in this status for reference and analytics tracking.

Managing Batches

Changing Status

You can manually change a batch’s status using the status selector in the top bar. However, certain transitions have requirements:

  • Cannot enter Briefing without completed messaging
  • Cannot enter Editing without created creatives
  • Cannot enter In Review without a URL to the main creative.
  • Cannot enter Variations Review without a URL to all the variations including the main creative.

You can also change batch statuses using the Kanban view in a cycle

Deleting a Batch

Click the Delete button in the top bar to delete a batch.

Caution

Deleting a batch permanently removes all associated creatives. This action cannot be undone.

Notes

Each batch stage includes an expandable Notes panel where team members can leave comments, feedback, and instructions for the next person in the workflow.

The notes button changes color to yellow when it has notes.

My Batches

Tip

This is where the editors and media buyer can see only the work that involves them.

The My Batches page provides a personalized view of batches that require your attention based on your role.

Table Columns

The My Batches table displays:

  • Name: Batch name (click to open)
  • Type: Video or Static badge
  • Cycle: Link to the batch’s cycle (or Backlog)
  • Status: Current production status
  • Creative Strategist: Assigned strategist
  • Editor: Assigned editor
  • Media Buyer: Assigned media buyer
  • Created At: When the batch was created
  • Updated At: When the batch was last modified
