Welcome to the team! 🎉

This guide explains how to access the system, find your tasks, and understand what you’ll be working with to create the best videos: the Storyboard.

Getting Started

  • Check your Email: Look for an invitation email with the subject line: ‘You’ve been invited to Creative System.io!’ (please check your Spam/Junk folder if you don’t see the email in your inbox).
  • Activate: Click the link in the email to activate your account and set your password.
  • Log in → “My Batches”: Once logged in, click the “My Batches” on the tab on the left sidebar.
    • This is where you can find the work that’s assigned to you.
    • You will see a list of all video projects (“Batches”) assigned to you.
    • Click a Batch to open it (or open it in a new tab) and start working.

Understanding the Storyboard Page

When you open a Batch that’s assigned to you, you will land on the Editing page.

This page is your Storyboard. It contains every instruction you need to build the video.

In this section, let’s focus on understanding everything on this page so you can move through the process smoothly!

The Scenes

The page is built of rows (cards) called Scenes.

Here is what each part of the card means:

  • Scene #: Shows the scene number (example: Scene 1).
  • Estimated Duration: The estimated duration of the scene (example: 6s).
  • Speaker Tag: Shows who is speaking (example: “Influencer").
  • Script: The exact words being spoken in the audio of the video or the text on screen.
  • Visuals: Suggestions or directions on what must be shown on screen (example: “Woman looking uncomfortable”).
  • Editor Instructions: Technical notes specifically for you (example: style of editing, specific effects, or notes about sourcing certain clips). These only appear when the creative strategist has specific notes for you.
  • Clips Used: If you see a button that says [#] Clips Used, the strategist has already selected suggested videos for you.

The Variations

At the top left, you will see tabs labeled Main, Variation 1, Variation 2, etc.

  • If there are multiple tabs, it means we are creating multiple versions of the ad.

Note

Usually, only Scene 1 (The Hook) changes between variations. The rest of the video often stays the same.

  • For every variation, you can also see the Total Estimated Duration for the entire Storyboard variation.

The Voiceover (VO)

  • Play Button: If you see a play button (either at the top or on a scene), a voiceover file is attached.
  • If there is one attached: always use and edit with the Voiceover audio in your project (see details on the process later).

The Batch Notes

Look at the bottom right corner of your screen.

  • You will see a round floating button.
  • If this icon is yellow, it means there are important notes from the Strategist.
  • Click it to read instructions that apply to the entire Batch (Main video and all Variations).

The Action Buttons

At the top right of the page, you will see a button labeled Actions.

Click this to open a menu of actions to help you start editing:

  • Copy Script: Copies the entire text script to your clipboard.
  • Download Assets: Clicking this will download all the matched video clips and voiceovers for this Batch to your computer.
  • Attach Voiceovers: If a scene is empty, you can upload a VO file here. If you need to change a VO, use this to replace it.

The Review Submission Button

You will see a large purple button: Add Main Creative URL.

  • What is this? This is how you submit your work for the first review.
  • Important: In this stage, you only submit the Main video. Do not edit any of the variations yet.
  • Once your Main video is uploaded to our review link (Frame.io/Google Drive/Dropbox, or whichever platform your team uses), paste that link here.

Important

Double check if the links you’re submitting have the right access settings so they can be opened by the person or team you’re sharing it with (critical if you’re sharing Google Drive links).

Workflow Status: Editing

Now that you understand everything, you’re ready to start!

In this first stage, your goal is to build only the Main Video.

Step 1: Setting your project up

  1. Read the Notes: Click the Yellow Button (bottom right) to see if there are specific instructions for this batch. It’s pretty helpful if you quickly scan the storyboard to get a feel for it, too.
  2. Download Assets: Click the Actions button (top right) → Download Assets.
    • This gives you a ZIP file with all matched clips and Voiceovers.
    • Tip: The Voiceover file numbered: 0 is the Main Voiceover.
  3. Unzip & Organize: Unzip the files and import them into your video editing software (CapCut, Premiere, etc.).

Next up: we’re ready to edit the Main variation. Do not look at the “Variations” tabs yet. We only want to focus on the Main tab script right now.

Step 2: Editing Process

In order to do the best work when you’re editing and to minimize revisions, we suggest you follow the following guidelines and principles:

Follow Your Team’s Lead

If any of the principles are different from the training your team has already given you, always follow your team’s instructions first.

These guidelines are here to help you if you are in doubt or haven’t been fully trained yet.

🧠 Understand & Feel the Ad

Don’t just drag and drop clips. Imagine the person watching this ad.

What is the difference between a Good and a Bad ad?

Random Clips: You just place any clip that fits the timeline, even if it doesn’t match the words/content.Intentional Clips: If the script says “frustrated,” you show a person looking stressed.
Wrong Vibe: Using happy, upbeat music when the script is talking about a painful problem.Matched Vibe: The music, sound effects, and pacing match the energy of the speaker.
Result: The viewer feels confused and scrolls away.Result: The viewer feels understood and keeps watching.
  • Golden Rule: You should know who the ad is for. If you don’t know: always ask your team. They’ll be more than happy to show you and will appreciate you more for asking! So NEVER be afraid to ask.
  • Once you know who we’re talking to: use your eyes, ears and emotions (through your body) to feel the feeling of the video as you edit and think if that’s the right emotion we want to go for.
  • Check: Watch your edit. Does it make you feel the emotion described in the script? How can we make it better?
  • Improve: It’s a continuous process and you will get better over time. Again, always make sure to ask your team (they will appreciate it a lot) and you will improve significantly faster.

🎙️ Audio Editing First

Voiceovers (either natural or AI) often have natural pauses that kill engagement on video ads. Here’s what you should do:

  • Cut Silence FIRST: Remove all empty gaps and pauses in the audio timeline before you add any text/captions.
  • Speed: If the voice feels too slow, you can speed it up, but never go above 1.1x speed. Anything faster sounds robotic and glitchy.
  • Why do this first? If you add captions first and then cut the audio gaps, all your text layers will be out of sync.

📂 Finding Clips (Content Library)

In the Storyboard, you will often see a button that says "[#] Clips Used". These are clips the strategist selected for you.

  • However, if you need extra b-roll or if the suggested clips don’t fit the vibe, you can access our central Content Library.
  • This is where all our raw footage is stored.

📱 Editing in an Organic Way

The ad should look like it belongs on the platform, not like a TV commercial.

  • Fonts: Use the native fonts of the platform. Here are two fonts you can’t go wrong with, if your team hasn’t specified which fonts you should be using:
    • TikTok font: Proxima Nova Semi-Bold
    • Instagram font: San Francisco
  • Safe Zones: Social media apps have buttons (Like, Share, Comment) that overlay the video.
    • Tip*:* Use this resource to get an overlay on top of your timeline layer to make sure you stay within the safe zone.

📝 The “Script Swap” Captions Method

Never type captions manually. Never trust AI captions 100%.

AI transcription/captions are great for timing, but it often misspell things.

Use this method for perfect subtitles:

  1. Auto-Generate: Use your editor’s AI tool (like CapCut auto-captions) to generate the text layers. This sets the timing for you almost perfectly.
  2. The Script Swap:
    • Now open the Storyboard on our platform.
    • Copy the sentence from the scene you’re working on.
    • Paste it into your video editor’s caption block.
    • Do the same for every caption block.
    • This guarantees 100% accuracy in spelling and grammar.

Step 3: Submitting Your First Version (Main) for Review

Once you have finished the Main video:

  1. Render/Export the video.
  2. Upload it to your team’s review platform (Frame.io, Google Drive, etc.).
  3. Copy the share link.
  4. Go back to the Storyboard and paste the link into the purple button: Add Main Creative URL.

Workflow Status: In Review

  • What to do: Switch the Status to: In Review. Now wait. Your team is checking the video.
  • If Rejected: You will receive feedback. Fix the Main video and re-submit.
  • If Approved: The status will change to Variations Editing.

Great job! The Main video is approved.

Now, we just need to create the different Variations of the ad and we’re done.

Step 1: Duplicate

Do NOT start the project from scratch.

Since the body of the video usually stays the same, the fastest way to work is:

  1. Duplicate your approved “Main” timeline in your editing software.
  2. Rename the new timeline to “Variation 1”.
  3. Repeat this for as many variations as there are tabs in the Storyboard.

Step 2: Check the Tabs

Go back to the Storyboard page. Look at the tabs at the top left (Variation 1, Variation 2, etc.).

  • Click on Variation 1.
  • Compare it to the Main tab.
  • You will usually see that only Scene 1 (the Hook) is different. The other Scenes are usually the same as the Main.

Step 3: Swap the Scenes

In your new “Variation 1” timeline:

  • Delete the old Scene 1.
  • Edit the new Scene 1 based on the instructions in the “Variation 1” tab.
  • Keep the rest of the video exactly the same (unless the Storyboard says otherwise).

Step 4: Export & Organize

Once you have finished all variations:

  1. Export all video files (Main + All Variations).
  2. Upload them into a single folder on your review platform (Drive/Dropbox/Frame.io).
  3. Important: Do not send multiple links. We need one link that leads to the folder containing all the videos.

Step 5: Submit Final Link

  • Copy the link to the folder.
  • Paste it into the submission box on the Storyboard.
  • Done ✅
