Media Buyer (Ad Uploader) Training

Welcome to the team! 🚀

This guide explains how to take approved creatives from our system and launch them live on the ad platform (Meta).

Getting Started

  • Check your Email: Look for an invitation email with the subject line: ‘You’ve been invited to Creative System.io!’ (please check your Spam/Junk folder if you don’t see the email in your inbox).
  • Activate: Click the link in the email to activate your account and set your password.
  • Log in.

Finding Your ‘Ready To Publish’ Batches

  • Log in and go to My Batches.
  • You can see which Batches are videos and which are statics (images).
  • Click a Batch to open it (or open it in a new tab) and start working.

The Batch Dashboard Elements

When you open the page, you will see everything you need to build the ad.

Creatives (Video/Image)

  • Look for the purple button: Open Produced Creatives.
  • Clicking this will open the folder (Frame.io/Google Drive/Dropbox, or whichever platform your team uses) containing the final files.
  • Download all the creatives.

In-Platform Copy (The Ad Text)

This option is currently only available for: Static batches.

  • At the top of the page, look for the box labeled In-Platform Copy.
  • Click the arrow > to expand it.
  • Here you will find the text you need to copy-paste into the ad platform:
    • Primary Text: The caption above/below the ad.
    • Headline: The bold text next to the “Shop Now” button.
    • CTA: The button text (Call to Action).

The Critical Tracking Rule (Batch ID)

This is the most important step. If you miss this, we cannot track our performance.

Important

The Rule:

Every ad you upload MUST have the Batch ID inside the Ad Name in the Meta Ads Manager.

How to do it:

  1. On the Batch Dashboard, click the button: Copy Batch ID.
  2. When naming your specific Ad, paste the ID somewhere in the ad name (NOT adset or campaign name).

Note

It does not matter if the ID is at the start or the end, but it must be present.

The Uploading Workflow

Follow this checklist for every batch:

  1. Download: Click “Open Produced Creatives” and download the video/image files.
  2. Create: Log in to your Ads Manager
    1. Open the testing campaign, or the campaign you want to launch the ads in.
    2. Open the correct ad set.
    3. Upload the ad like you normally do.
  3. Name It: Paste the Batch ID into the Ad Name (anywhere).
  4. Upload: Upload the creative file.
  5. Paste In-Platform Copy: Go back to our system, open In-Platform Copy, and paste the Primary Text and Headline into the Ad Platform.
  6. Publish: Launch the ad on the platform.
  7. Finish: In our system, change the status from Ready to Publish to Published so our system can track it! ✅
